Operating scope

What we run, what you approve, what carries a fee

The same four lanes appear in your contract and in the shared calendar. If a task sits outside a lane, it is quoted before anyone is dispatched.

Service lane Included Owner approves Extra fee
Guest communication First reply inside an 11-minute operating standard, check-in instructions, in-stay questions, review requests. Refunds, compensation and goodwill credits above UAH 2,000. Transfer arrangements and mid-stay restock runs, at cost plus 10%.
Booking calendars Two-way calendar sync, nightly rate and minimum-stay edits, blocked dates on your notice. Seasonal rate moves above 15% and any new sales channel. Channel setup beyond the two included platforms, UAH 1,500 per channel.
Cleaning coordination Turnover scheduling between guests, linen and supply reorders, photo proof of each completed clean. Deep cleans and any single spend above UAH 3,000. Post-event remediation and excess linen replacement, billed per incident.
Routine maintenance Minor fixes up to UAH 1,500 per visit, vetted contractor dispatch, invoice and photo record. Repairs above that ceiling and all structural work. Call-outs between 21:00 and 08:00, plus parts above the included ceiling.

Approval thresholds are fixed for the contract term. Lane-by-lane detail sits on the coverage page.

Escalation protocol

What happens in the first hour, and who approves the rest

Four lanes, four time bands, one approval marker. Nothing becomes a spend until the owner-approval step is cleared.

  1. 0–15 min

    Guest communication, first reply

Every message that lands in the booking inbox is answered. Operating standard: an 11-minute average first reply measured across the portfolio.

Owner visibility: message log, read only

  2. 15–60 min

    Cleaning coordination

A turnover for a same-day arrival is confirmed with the crew, or pushed to you, within 30 minutes. Operating standard, not a promise the crew will always exist.

    Owner approves: extra crew cost

  3. 1–24 h

    Routine maintenance, before any work

We inspect, collect a written quote, and send it to you with the fault described. Work starts only after your approval reply.

Owner approves: all spend above the agreed threshold

  4. 24–72 h

    Booking calendars and conflicts

A double booking or a blocked calendar is flagged within 72 hours, with two ways to resolve it and the guest impact written out.

Owner decides: which option to take

Every time on this page is an operating standard rather than a guarantee. Utility outages, weather and crew shortages can move a step; when one does, you hear it in the same lane with the reason attached. Full lane definitions sit in the operating scope.

Onboarding

Five steps from access handover to your first booking cycle

Ten working days is our operating standard for reaching live, not a promise. Every step has one named owner and a written deliverable you keep.

  1. 01

    Access handover and property walkthrough

Day 1 to 2 · Owner: managing director

    What we record

Keys or lockbox codes, utility shutoffs, appliance serial numbers, and a photo inventory of each room. You approve the inventory before the listing goes live.

  2. 02

Listing audit and booking calendar sync

Day 2 to 4 · Owner: guest communication lead

    What we check

Your listing copy and photos are compared against the property, then every channel calendar is merged into one. Conflicts are cleared before the first check-in.

  3. 03

    Lane assignment and reply templates

Day 4 to 6 · Owner: guest communication lead

    What we name

Guest communication, booking calendars, cleaning coordination and routine maintenance each get a fixed lane owner, so a landlord can trace every message to one desk. First reply standard is 11 minutes during operating hours.

  4. 04

    Cleaning rotation and maintenance contacts

Day 6 to 8 · Owner: operations coordinator

    What we confirm

We keep your cleaner or introduce one from our panel, set the turnover window between check-out and check-in, and log the plumber and electrician you already trust.

  5. 05

    First live cycle review

Day 8 to 10 · Owner: managing director

    What we review

After the first stay we walk the log together: response times, cleaning completion, and any item that crossed your approval threshold.

Start the checklist

Fees are a percentage of gross booking revenue, itemised on the coverage page.

Proof notes

Three owner files, the issue, and how it closed.

Each note names the property type, the city, the issue resolved, and the owner outcome. No revenue figures. Every time shown is an operating standard, not a guarantee.

Two-bedroom apartment · Lviv · Guest communication

Calendar double-booked by an overlapping channel sync

Issue
The same dates showed as confirmed on two channels after a nightly sync.
Resolved
Caught in the 30-minute escalation band and re-housed the same evening.
Outcome
Owner approved a calendar lock rule; the listing now carries a 72-hour conflict flag.

Three-bedroom apartment · Kyiv · Cleaning coordination

Two turnovers in one afternoon, one cleaner unavailable

Issue
Back-to-back departures left a two-hour window with no assigned cleaner.
Resolved
Backup cleaner dispatched, linen set swapped, unit photographed before check-in.
Outcome
Owner kept a standing backup on the roster at a fixed per-turnover rate.

Studio · Odesa · Routine maintenance

Water heater failed during a four-night stay

Issue
No hot water reported by the guest on the second morning of the booking.
Resolved
Technician booked within the hour; replacement quoted before any spend was committed.
Outcome
Owner approved the quote at the set threshold; the unit was back in service the next day.
Stack of folded linen beside a printed cleaning handover sheet on a kitchen counter
The cleaning handover sheet travels with each unit's key set, so the next turnover starts from a signed record.

These notes follow the same escalation protocol applied to every property. Send your property type and city through the contact form to see how yours would be handled.
